Position Summary:

The Rental Coordinator will play a key role in managing and coordinating all aspects of equipment rentals for Probst Electric’s fleet department. This includes overseeing incoming and outgoing rental equipment, maintaining accurate records, negotiating rental agreements, and ensuring timely delivery and return of equipment. The ideal candidate will have strong organizational skills, attention to detail, and the ability to effectively communicate with vendors, field crews, and internal departments.

What You'll Do

Key Responsibilities:

 

  • Coordinate all rental equipment needs across project sites and internal departments
  • Source and secure rental equipment from preferred vendors and negotiate competitive terms
  • Track rental periods and ensure timely off-renting and returns to avoid unnecessary charges
  • Maintain accurate and up-to-date records of all rental transactions in the fleet management system
  • Communicate with project managers, field supervisors, and procurement to anticipate and fulfill equipment needs
  • Review rental invoices for accuracy and resolve discrepancies with vendors
  • Support the Fleet Department in managing logistics related to equipment transportation and scheduling
  • Monitor and report on rental equipment utilization and trends
  • Ensure compliance with company policies and safety regulations related to rented equipment

What You'll Bring

Qualifications:

 

  • High school diploma or equivalent; associate or bachelor’s degree in business, logistics, or a related field is a plus
  • 2+ years of experience in fleet coordination, logistics, equipment rental, or a related field
  • Proficient in Microsoft Office Suite (Excel, Outlook, Word)
  • Experience with fleet or asset management software preferred
  • Strong communication and negotiation skills
  • Detail-oriented with excellent organizational and time-management abilities
  • Ability to thrive in a fast-paced environment and handle multiple priorities
