About this Role

A Project Controls Specialist assists in the management and reconciliation of program controls data with financial systems.

What You'll Do

  • Compile data for preparing and submitting invoices to the client.
  • Reviews pay applications, change orders, and contracts for accuracy, alignment with budget, and board approval.
  • Coordinates and provides document control tools to project managers, project engineers, and project coordinators document control tools.
  • Gathers and tracks quality data used for budgets, contracts, change orders, trends, invoicing, and actual costs.
  • Develops, implements, and maintains management reporting data to produce program controls reports.
  • Provides feedback to ensure adjustments are made on a timely basis with minimal disruption to the project.
  • Promotes open communication and collaboration between all parties to ensure that projects are completed with minimal disruptions and delays.
  • Reviews, evaluates, and recommends changes to project documents as required by project needs.
  • Provide assurance that projects and contractors are compliant with contracts and standards by ensuring regular reviews are held and recorded for Schedule, Risk, Cost, interface, and change.
  • Provide input into the implementation and maintenance of an efficient and effective document management system, ensuring compliance across the project team.
  • Provide the project management team with integrated, accurate, and timely whole-of-project/program reports with analysis while providing strategies for mitigating variances relating to scheduling, resource, and cost forecasting. The role also prepares external stakeholder reporting.
  • Provide support to the Senior Manager, Project Controls or Director Project Controls in collaboration and engagement with stakeholders and staff to develop progress KPIs that are tracked and monitored, as well as prepare regular reports detailing project progress against plan, highlighting critical issues and monthly forecasts for project costs to complete against budgets and committed costs and crosschecking and validating data for anomalies, irregularities, or inconsistencies.
  • Creation of purchase orders in the system.
  • Setting up budgets in JDE.
  • Other related duties and projects assigned.

What You'll Bring

  • High school diploma or equivalent – required.
  • Strong working knowledge of MS Office. Proficiency with Microsoft Excel is a must.
  • Excellent written and verbal communication skills
  • Able to handle multiple priorities efficiently and effectively.
  • Ability to work extended hours when necessary for business needs.
  • Experience working in construction is a plus.
  • Must be able to develop and maintain positive, cooperative, team-oriented relationships with co-workers, supervisors, managers, clients, and others in contact with the job.
  • Ability and willingness to travel as needed.
