About this Role

Position Summary:


The Director of Fleet and DOT Compliance is responsible for overseeing the strategic and operational direction of the company's vehicle fleet and ensuring full compliance with all applicable Department of Transportation (DOT), Federal Motor Carrier Safety Administration (FMCSA), and state regulations. This role leads the development, implementation, and monitoring of fleet safety programs, policies, procedures, and initiatives aimed at ensuring driver safety, fleet efficiency, and regulatory adherence.

What You'll Do

Key Responsibilities:


DOT Compliance:

 

• Ensure ongoing compliance with all federal, state, and local DOT regulations.
• Monitor and reduce CSA scores; take corrective actions as needed.
• Manage vehicle inspection, maintenance, and repair logs to ensure compliance.
• Ensure that annual inspections and periodic vehicle maintenance are performed and properly documented.
• Investigate DOT violations and roadside inspections, track CSA scores, and implement corrective actions.
• Serve as the point of contact during DOT audits, investigations, and roadside inspections.
• Train new and current drivers on DOT compliance requirements and safe driving practices.
• Conduct regular internal audits to ensure the company maintains a state of audit-readiness.
• Assist in accident reporting, investigation, and post-accident compliance procedures.
• Collaborate with the safety team to develop policies and training programs to reduce DOT-related violations.
• Stay up to date with changes in DOT, FMCSA, and state regulations and update company policies as needed.

 

Fleet Management:


• Schedule and track vehicle maintenance, inspections, and repairs to ensure regular scheduled maintenance and minimal downtime.
• Maintain accurate fleet records, including vehicle registrations, insurance information, inspection reports, and service logs.
• Coordinate with vendors for repairs, parts ordering, and warranty issues.
• Support vehicle utilization tracking to ensure optimal use of resources.
• Maintain a current inventory of fleet vehicles and assigned equipment.
• Ensure all vehicles are registered, licensed, and insured in accordance with federal and state laws.
• Assist in tracking and analyzing fleet costs, fuel usage, and maintenance trends to improve efficiency.
• Communicate with drivers regarding maintenance schedules, vehicle assignments, and compliance reminders.
• Support onboarding of new drivers and vehicles into fleet systems and records.
• Oversee acquisition, leasing, maintenance, replacement, and disposal of company vehicles.

 

Leadership & Strategy:


• Supervise a team of fleet coordinators, compliance specialists, and/or drivers.
• Collaborate with HR, Safety, and Operations to align policies and mitigate risks.
• Forecast fleet needs in alignment with organizational growth.

What You'll Bring

Qualifications:


Education & Experience:

  • Bachelor’s degree in Transportation Management, Logistics, Business, or related field, or 5 years of verifiable work experience.
  • Minimum of 5 years of progressive experience in fleet operations and DOT compliance, with at least 3 years in a leadership role.
  • Proven experience managing FMCSA compliance and DOT audits.
  • Strong computer skills (MS Excel, fleet management software, telematics platforms).
  • Excellent organizational skills and attention to detail.
  • Strong communication and problem-solving skills.
  • Ability to prioritize in a fast-paced environment.
  • Knowledge of heavy equipment and commercial motor vehicles.
  • Understanding of preventative maintenance programs.
  • Commercial Drivers License (CDL) is a plus.

Work Environment:

  • Office-based with regular visits to field locations, shops, and job sites.
  • May require occasional travel and irregular hours during audits or emergencies.
