Position Summary:

  • We are currently seeking a Receptionist to join our Heber, UT team! The Receptionist is the first point of contact for visitors and callers, providing exceptional customer service while managing administrative tasks that support the office's functionality.

What You'll Do

Roles and Responsibilities: 

 

Customer Service 

  • Greet visitors warmly upon arrival, assisting with inquiries and directing them to appropriate staff members. 
  • Answer and manage incoming calls efficiently, redirecting them to the correct departments as needed. 
  • Handle customer complaints and inquiries with professionalism, aiming for prompt and satisfactory resolutions. 
  • Maintain a welcoming and organized reception area to enhance the office’s professional image. 
  • Foster positive interactions with all visitors, contributing to an inviting atmosphere. 

Administrative Support 

  • Coordinate appointment scheduling for staff, ensuring efficient use of meeting and office resources. 
  • Perform data entry tasks and maintain accurate records, supporting overall office administration. 
  • Prepare and distribute internal communications, ensuring timely and clear information sharing. 
  • Monitor office supply levels and place orders as needed, managing inventory effectively. 
  • Support various administrative tasks to streamline office processes and support team members. 

Meeting Coordination 

  • Schedule and organize meetings and events, coordinating with relevant staff to confirm availability. 
  • Prepare meeting agendas and take minutes, distributing them to participants in a timely manner. 
  • Arrange logistics for meeting materials, including audio/visual setup and document preparation. 
  • Ensure that meeting rooms are set up properly and maintained for a professional environment. 
  • Provide follow-up on action items from meetings, helping teams stay organized and informed. 

Mail and Document Management 

  • Sort and distribute incoming mail and packages, ensuring timely delivery to recipients. 
  • Prepare outgoing mail, coordinating with shipping services to meet delivery timelines. 
  • Maintain an organized log of important correspondence for easy retrieval and tracking. 
  • Ensure proper handling of confidential documents, adhering to privacy standards. 
  • Support organization of office filing systems to enhance efficiency and document accessibility. 

Office Maintenance and Safety 

  • Ensure that the reception area is clean, organized, and welcoming to all visitors. 
  • Assist with the maintenance and troubleshooting of office equipment, reporting any issues. 
  • Coordinate with facility management to report and resolve maintenance needs promptly. 
  • Implement and uphold office safety protocols, creating a safe environment for staff and visitors. 
  • Monitor the organization and cleanliness of shared spaces, supporting a professional workspace. 

What You'll Bring

Qualifications: 

  • Education: High school diploma or equivalent; associate degree preferred. 
  • Experience: Minimum of 2 years in a receptionist or administrative role. 
  • Skills: Excellent verbal and written communication, multitasking abilities, and attention to detail. 
  • Technical Proficiency: Proficient in Microsoft Office Suite and capable of operating common office equipment. 
  • Knowledge: Basic understanding of office administration, customer service principles, and confidentiality standards.
