About this Role

We are seeking a proactive and highly organized Executive Assistant to provide top-tier administrative support to the Regional President. The ideal candidate will possess exceptional skills in calendar management, spreadsheet maintenance, and presentation creation. This role requires a detail-oriented professional who can handle multiple tasks efficiently and contribute to the smooth operation of the Regional President's office. This role will require travel up to 50% of the time.

What You'll Do

Administrative Support:

  • Handle incoming communications, including emails, phone calls, and correspondence, with professionalism and efficiency.
  • Assist with the preparation and editing of documents, reports, and other business materials.
  • Coordinate travel arrangements, including booking flights, accommodations, and creating detailed itineraries.

Calendar Management:

  • Oversee and manage the Regional President's complex calendar, scheduling meetings, appointments, and travel with precision.
  • Anticipate and resolve scheduling conflicts, ensuring optimal time allocation for the Regional President.
  • Coordinate and prepare agendas, materials, and logistics for meetings, ensuring all necessary information is organized and accessible.

Spreadsheet Management:

  • Create, update, and maintain various spreadsheets to support business operations.
  • Compile and analyze data to produce accurate and insightful reports for the Regional President.
  • Ensure all data is organized and presented clearly, facilitating informed decision-making.

Presentation Creation:

  • Design and develop high-quality presentations for internal and external meetings.
  • Work closely with the Regional President to understand the key messages and objectives of each presentation.
  • Ensure all presentations are visually appealing, aligned with company branding, and convey the intended message effectively.

Project Coordination:

  • Support the Regional President in managing special projects and initiatives, tracking progress and ensuring deadlines are met.
  • Liaise with internal teams and external partners to gather information and resources as needed.

Communication:

  • Serve as a primary point of contact between the Regional President and internal/external stakeholders, ensuring clear and timely communication.
  • Handle sensitive and confidential information with the highest level of discretion.

Experience:

  • Minimum of 5 years of experience as an Executive Assistant or in a similar role, preferably supporting senior executives.
  • Technical Skills: Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), with a strong emphasis on spreadsheet management and presentation creation.
  • Communication: Excellent verbal and written communication skills, with a strong attention to detail.
  • Organizational Skills: Superior organizational abilities, capable of managing multiple priorities in a fast-paced environment.
  • Time Management: Exceptional time management skills, with the ability to prioritize and execute tasks efficiently.
  • Professionalism: High degree of professionalism, with the ability to handle confidential information discreetly.

 

Preferred Qualifications:

  • Experience in a corporate or regional office setting.
  • Familiarity with project management tools and software.
  • Ability to work independently and with minimal supervision.
