About this Role

Irby Construction Company, a Quanta Services company, is seeking a detail-oriented DOT Specialist to support compliance with Department of Transportation (DOT), Federal Motor Carrier Safety Administration (FMCSA), and company requirements for drivers and commercial motor vehicle operations. This position assists with driver qualification files, motor vehicle records, DOT physicals, drug and alcohol testing requirements, CDL documentation, compliance tracking, recordkeeping, and audit preparation.

The DOT Specialist works closely with Safety, Fleet, Human Resources, Operations, drivers, and other support departments to help ensure required records are complete, current, and maintained in accordance with applicable regulations and company policy. The role requires strong attention to detail, confidentiality, follow-through, and the ability to manage multiple compliance deadlines in a fast-paced environment.

What You'll Do

  • Maintain and audit Driver Qualification Files (DQFs) and related DOT records to ensure required documentation is complete, accurate, and current.
  • Track commercial driver licenses (CDLs), endorsements, DOT medical certificates, motor vehicle records (MVRs), and other driver credentials; follow up on upcoming expirations or missing documentation.
  • Support FMCSA Drug & Alcohol Clearinghouse requirements, including required queries, documentation, and follow-up in coordination with Human Resources and Safety.
  • Coordinate DOT and company-required drug and alcohol testing activities, including pre-employment, random, post-accident, reasonable-suspicion, return-to-duty, and follow-up testing as applicable.
  • Assist with onboarding and qualification of DOT-regulated drivers by collecting required forms, verifying credentials, and confirming compliance requirements are satisfied before assignment to covered duties.
  • Monitor and maintain driver compliance records, spreadsheets, databases, and company systems; communicate deficiencies or upcoming deadlines to appropriate employees and leadership.
  • Request, review, and maintain MVRs and other required driver-history documentation in accordance with company procedures and applicable regulations.
  • Assist with DOT/FMCSA audit preparation, internal compliance reviews, regulatory inspections, and requests for driver or fleet documentation.
  • Maintain records related to vehicle and driver compliance, including inspection documentation, accident records, training records, and other supporting materials as assigned.
  • Partner with Fleet, Safety, Human Resources, and Operations to resolve documentation gaps, credential issues, or other compliance concerns in a timely manner.
  • Provide routine communication and follow-up with employees regarding expiring licenses, medical cards, required testing, training, or outstanding documentation.
  • Maintain confidentiality and handle employee, medical, driving, and company information with appropriate discretion and professionalism.
  • Perform other compliance, administrative, and special-project duties as assigned.

What You'll Bring

  • High school diploma or equivalent required; additional coursework or training in transportation, safety, compliance, business administration, or a related field is preferred.
  • Prior experience supporting DOT/FMCSA compliance, fleet administration, transportation, driver qualification, safety, or a related function is preferred.
  • Working knowledge of DOT and FMCSA requirements affecting commercial drivers, including driver qualification, CDL and medical certification, MVRs, and drug and alcohol testing requirements, is strongly preferred.
  • Experience with the FMCSA Drug & Alcohol Clearinghouse, driver qualification file management, or regulatory audit preparation is preferred.
  • Basic proficiency with Windows, macOS, iOS/iPhone, and Microsoft Office applications, including Outlook, Word, and Excel, with the ability to quickly learn company compliance, fleet, HR, and document management systems.
  • Strong attention to detail and organizational skills with the ability to maintain accurate records, monitor expiration dates, and follow established compliance processes.
  • Effective written and verbal communication skills and the ability to professionally follow up with drivers, managers, internal departments, clinics, testing providers, and regulatory contacts.
  • Ability to handle confidential and sensitive employee, medical, and driving information with discretion and sound judgment.
  • Ability to manage multiple priorities, recurring deadlines, and documentation requirements in a fast-paced, team-oriented environment.
  • Experience in utility construction, transportation, commercial fleet operations, or a DOT-regulated environment is preferred but not required.

Location, Schedule & Work Authorization

This is an on-site position based in Quinlan, Texas. Standard business hours are expected, with schedule flexibility as operational needs require.
