About this Role

Irby Construction Company, a Quanta Services company, is seeking a detail-oriented HR Clerk to provide administrative and clerical support to the Human Resources function. This position assists with employee records, onboarding documentation, data entry, printing and filing, basic correspondence, and other routine HR support activities while maintaining accuracy, professionalism, and confidentiality.

The HR Clerk works closely with Human Resources, Talent Acquisition, payroll, managers, and other support departments to help ensure employee information and HR documentation are organized, complete, and processed in a timely manner. The role requires strong attention to detail, basic computer proficiency, discretion when handling employee information, and the ability to manage routine administrative tasks in a fast-paced environment.

What You'll Do

  • Provide general clerical and administrative support to the Human Resources team and other assigned support functions.
  • Prepare, print, scan, copy, assemble, and distribute employee forms, onboarding materials, notices, correspondence, and other HR-related documents as requested.
  • Assist with organizing and maintaining electronic and paper personnel files, ensuring documents are filed accurately and consistently.
  • Enter and update employee and administrative information in company systems, spreadsheets, or tracking logs under the direction of Human Resources.
  • Assist with onboarding and offboarding administrative tasks, including preparing forms, checklists, orientation materials, and required documentation.
  • Monitor shared email or assigned correspondence and provide basic email communication and follow-up with employees, candidates, managers, and internal departments as directed.
  • Maintain organized records for employee documentation, training records, acknowledgments, correspondence, and other HR-related materials.
  • Support scheduling and coordination of orientations, meetings, interviews, training sessions, and other HR activities as assigned.
  • Track receipt of requested forms, signatures, acknowledgments, or supporting documentation and follow up on outstanding items as directed.
  • Assist with preparing routine HR reports, rosters, spreadsheets, and document packages for review by Human Resources leadership.
  • Help maintain current employee contact information, departmental lists, forms, templates, and other HR reference materials.
  • Maintain confidentiality and handle employee and company information with appropriate discretion and professionalism.
  • Perform other clerical duties and special projects as assigned.

What You'll Bring

  • High school diploma or equivalent required; additional coursework or training in human resources, business, administration, or a related field is preferred.
  • Prior clerical, administrative, customer service, human resources, recruiting, or office experience preferred; entry-level candidates with strong organizational and computer skills may be considered.
  • Must be comfortable working on both Windows and Mac operating systems.
  • Basic proficiency with Microsoft Office, including Outlook, Word, and Excel, and the ability to learn company HR, applicant tracking, document-management, or other administrative systems.
  • Ability to perform basic email correspondence, printing, scanning, copying, filing, document organization, scheduling, and data entry accurately and efficiently.
  • Strong attention to detail and organizational skills with the ability to maintain accurate records and follow established HR processes.
  • Effective written and verbal communication skills and a professional, service-oriented approach when interacting with employees, candidates, managers, and internal teams.
  • Ability to handle confidential and sensitive information with discretion and sound judgment.
  • Ability to manage multiple tasks, prioritize requests, and meet deadlines in a fast-paced, team-oriented environment.
  • Human Resources, recruiting, payroll support, or employee-records experience is preferred but not required.

Location, Schedule & Work Authorization

This is an on-site position based in Quinlan, Texas. Standard business hours are expected, with schedule flexibility as operational needs require.
