We are seeking a highly organized Administrative Assistant for our growing team.  This role is ideal for someone who takes pride in owning their work, enjoys creating structure and efficiency, and thrives in a fast-paced, people-focused environment.

 

As the first point of contact for our office, you will play a key role in shaping the daily experience of employees, visitors, and partners. You’ll help keep operations running smoothly, build strong working relationships, and contribute to a culture rooted in integrity, ingenuity, craftsmanship, safety, and connection.

What You'll Do

Key Responsibilities

Front Office Leadership & Administrative Support

  • Greet visitors, answer calls, and manage incoming communications with professionalism and care
  • Take ownership of day-to-day administrative functions, including calendar coordination, meeting scheduling, travel arrangements, and document preparation
  • Prepare high-quality reports, presentations, and correspondence with a strong attention to detail and craftsmanship

 

Office Coordination & Operations

  • Oversee the daily operations of the office to ensure an organized, efficient, and welcoming environment
  • Manage office inventory, supplies, and vendor relationships, proactively identifying opportunities to streamline and improve processes
  • Coordinate maintenance requests, mail distribution, shipping, and receiving with a focus on reliability and follow-through
  • Foster a workplace environment that prioritizes safety, well-being, and positive energy

 

Communication & Relationship Building

  • Build strong relationships across teams through clear communication, active listening, and a collaborative approach
  • Act as a trusted point of contact for employees and external partners, helping information flow effectively and transparently

 

Data & Information Management

  • Maintain accurate, well-organized records across databases, spreadsheets, and filing systems
  • Ensure information is handled with integrity and confidentiality
  • Identify opportunities to improve data organization and administrative workflows

 

Employee Onboarding & Support

  • Assist with onboarding new hires, including preparing workspaces, coordinating materials, and helping create a smooth and welcoming first-day experience
  • Contribute to an environment where team members feel supported, connected, and set up for success

 

Additional responsibilities as needed to support business operations and team success.

  • Ability to manage competing priorities while maintaining reliability, accountability, and a strong sense of ownership
  • Consistent follow-through on tasks and responsibilities, supporting smooth daily operations and team success
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook); additional software experience is a plus

 

Education & Experience

  • Proven experience supporting administrative, office coordination, or similar functions in a professional environment
  • High School Diploma or an equivalent combination of education and applied experience

What You'll Get

Working Conditions: 

The majority of the time you will work in a typical office environment.  Occasionally, you may travel to a construction job site. When on construction job sites you will encounter typical construction conditions including extreme temperatures, noise, dust, mud debris, welding, leading edge, trenching, and shoring, sometimes in a confined space. You may be required to visit multiple locations during any one day. 

 

Benefits Overview: 

IME provides an industry-leading comprehensive benefits package. Full-time employees are eligible to choose from a variety of healthcare coverage options, which become effective the first of the month after hire. In addition, employees are offered a substantial amount of PTO and are immediately eligible to make contributions to a generously matched and fully vested 401k. 

 

Salary Range:  $24.51 - $33.17/hour

*Final salary and rates are based on education, experience, skills relevant to the role, and internal equity.*
