  • Overview

    The Legal Billing Coordinator reports to the Deputy General Counsel & Corporate Secretary and is responsible for processing of legal bills in a timely and accurate manner.

    Responsibilities

    • Reviews all invoices from legal vendors according to billing review protocol and processes invoices for payment through Serengeti Tracker, TAP or other electronic systems.
    • Coordinates with department staff and operating units to facilitate invoice processing and payment.
    • Works with accounting partners to ensure proper invoice coding, routing and tracking, including handling of intercompany billing
    • Communicates with law firm representatives to collect necessary information (onboarding information, budget submission, accruals, etc.) and troubleshoot billing and payment issues
    • Supports the new vendor setup and outside counsel engagement and onboarding process by ensuring that matter profiles are opened, data is compiled, and records are updated.
    • Supports the month-end close process; complies monthly legal accruals and ensures information is accurate, complete and timely reported.
    • Assists with annual budget preparation.
    • Supports legal professionals and operations personnel by producing necessary reports.
    • Adheres to internal standards, policies and procedures.
    • Performs other duties as assigned.

    Qualifications

    Required Education and Experience:

    • Associate’s Degree and minimum 2+ years of experience in analyst or administrative or operations role.

     

    Preferred Education and Experience:

    • Bachelor’s Degree or equivalent.

     

    Travel Requirements:

    • Percent of Time:  up to 5%

     

    Computer Skills:

    • Intermediate Proficiency in MS Word, Outlook, and PowerPoint; Advance Proficiency in Excel

     

    Additional Knowledge/Skills/Abilities: 

    • Legal technology experience preferred, specifically matter management and e-billing
    • Understanding and knowledge of legal billing processes and accounts payable concepts
    • Ability to manage detailed tasks efficiently and effectively
    • Strong problem solving skills with ability to clearly articulate issues and concerns and recommend solutions
    • Strong interpersonal skills; able to work collaboratively as part of a diverse team
    • Strong self-organization and self-management skills
    • Excellent oral and written communication skills, specifically administrative writing, editing and reporting
