About this Role

The Bid & Compliance Administrator plays a critical role in supporting the company's business development and operational compliance functions. This position is responsible for maintaining accurate registrations and company profiles across client procurement platforms, preparing and submitting prequalification packages, managing licensing requirements, and supporting the proposal process. The ideal candidate is highly organized, detail-oriented, and thrives in a fast-paced environment where deadlines are non-negotiable.

What You'll Do

Procurement & Client Bidding Systems

  • Set up and maintain company profiles on client procurement and bidding platforms, including Avetta, ISN, Veriforce, Vero, and similar systems.
  • Monitor platform notifications, expiration alerts, and client requests to ensure timely responses and uninterrupted bidding eligibility.
  • Coordinate with internal departments (Safety, HR, Finance) to gather current documentation required by client systems.
  • Troubleshoot access issues and liaise with platform representatives to resolve discrepancies.

 

Risk Management & Compliance Reporting

  • Complete and submit regular compliance reports through risk management systems such as ISN, Veriforce, Avetta, and Vero.
  • Track and manage ongoing compliance requirements including insurance certificates, safety statistics (EMR, TRIR, DART), and training records.
  • Serve as the primary point of contact for platform audits and compliance inquiries from clients.
  • Maintain a compliance calendar to proactively manage deadlines and renewal dates.

 

Prequalification & Company Information Management

  • Maintain up-to-date company information across all platforms, including insurance, certifications, safety records, and financial documents.
  • Complete prequalification packages for new and existing clients, ensuring accuracy and completeness of all submissions.
  • Develop and maintain a centralized repository of standard prequalification documents for efficient reuse.

 

Licensing & Registrations

  • Research, prepare, and submit new contractor license applications across jurisdictions as required for project pursuits.
  • Track all active licenses and registrations; manage renewal timelines to prevent lapses.
  • Coordinate with legal counsel and company leadership to ensure proper classification and bonding requirements are met.

 

Bid & Proposal Support

  • Support the business development team with the preparation and organization of bid packages, proposals, and RFP responses.
  • Assist in compiling required attachments, forms, certifications, and qualification documents for submissions.
  • Track bid deadlines, addenda, and award notifications; maintain a bid log for reporting purposes.
  • Coordinate internal reviews and approvals to ensure timely, compliant proposal submissions.

What You'll Bring

  • High school diploma or GED required; Associate's or Bachelor's degree in Business Administration, Construction Management, or a related field preferred.
  • 2+ years of experience in an administrative, coordinator, or compliance role, preferably within the construction or specialty contracting industry.
  • Prior experience working with contractor management platforms (Avetta, ISN, Veriforce, Vero, or similar) strongly preferred.

 

Skills & Competencies

  • Exceptional attention to detail and commitment to accuracy in document preparation and data entry.
  • Strong organizational skills with the ability to manage multiple deadlines simultaneously.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook); experience with document management systems a plus.
  • Excellent written and verbal communication skills.
  • Self-motivated with the ability to work independently and proactively identify needs.
  • Ability to work collaboratively across departments to gather required information and meet deadlines.

Pay- $  23.00    - $ 27.00    /Hourly *Depending on Experience
