Administrator to join our team at the Potelco Inc. Office located Tigard, OR.

 

The Office Administrator plays a key role in ensuring smooth and professional day-to-day operations. This position
manages front desk responsibilities, facilitates administrative support, and coordinates essential office functions. A
strong customer service mindset, exceptional attention to detail, and the ability to proactively manage recurring
tasks are critical to success in this role.

 

This position is designed to take ownership of a wide range of administrative and operational duties, enhancing
overall office efficiency.

 

The pay for this role is $29.00 to $31.00 per hour depending on experience.

What You'll Do

Responsibilities:
Front Desk & Communication
• Greet and assist visitors and serve as the first point of contact for all incoming calls and inquiries
• Monitor and respond to the general office and reception email inboxes
• Mail & Shipping Coordination
• Receive, sort, and distribute mail, FedEx, and packages
Administrative & Financial Support
Process cost transfers to ensure accurate expense allocation.

• Update company data and phone rosters
• Assist with data entry, document preparation, and report generation
• Provide administrative support to leadership and staff as needed
Event Planning & Coordination
• Support event planning and coordination, including logistics, scheduling, and execution of internal events
• Order and coordinate lunch catering for meetings, trainings, and internal events
• Reserve and prepare meeting rooms, including AV setup, seating layout, and restocking supplies
Office Operations & Management
• Assist with office management functions to ensure smooth daily operations
• Perform daily checks and ensure organization of shared spaces (conference rooms, coffee bar, lunchroom,
supply areas)
• Order and manage business cards and office stationery as needed

Facilities, Vendors & Work Orders
• Track and maintain inventory of office supplies and order office supplies through approved vendors
• Coordinate with vendors for recurring services (janitorial, pest control, water/coffee, etc.)
• Submit, track, and follow up on work orders and building maintenance requests
Cross-Functional Support
• Flexible support role to serve as a backup resource to cross-functional teams as needed

What You'll Bring

Minimum Qualifications:
• High school diploma or equivalent required; associate’s degree or administrative certification preferred
• Minimum 2 years of experience in an office administrator, office coordinator, or customer-facing
administrative role
• Strong customer service skills with a professional, approachable demeanor
• Exceptional attention to detail, organizational skills, and time management
• Ability to prioritize multiple tasks and meet deadlines in a fast-paced environment
• Proficient in Microsoft Office Suite (Outlook, Excel, Word); familiarity with Concur a plus
• Experience in facilities, vendor coordination, or event planning is a plus
• Basic familiarity with IT support processes or systems is a plus
