About this Role

The ComTran Group, Inc. is looking for a detail-oriented and professional Administrative Assistant/Receptionist to join our team. This position serves as the first point of contact for visitors and employees, while providing essential administrative support to ensure smooth office operations.

What You'll Do

  • Your job will be including but not limited to
  • Answer phones and direct incoming calls professionally.
  • Record VISA phone sales accurately.
  • Order office supplies and maintain inventory.
  • Restock supplies and beverages in conference rooms.
  • Monitor and maintain supply of forms in the copy room.
  • Update employee phone list monthly and distribute to managers.
  • Make travel reservations as needed.
  • Pick up and distribute mail daily.
  • Operate and maintain Pitney Bowes mail machine.
  • Prepare FedEx labels and maintain shipping document supplies.
  • Provide job applications to walk-in applicants when requested.
  • Operate Ricoh copiers, HP Designer T3500 (wide format), and other office machines.
  • Prepare driver notebooks.
  • Perform data entry tasks accurately.
  • Maintain training and PTO calendars.
  • Coordinate office luncheons for training classes.
  • Laminate pocket cards as needed.
  • Assist with safety training administrative requirements.
  • Provide assistance to employees with questions and problems.
  • Arrange interviews and follow-up communications.

What You'll Bring

  • High school diploma or equivalent; associate degree preferred.
  • Previous experience in administrative or receptionist roles.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Familiarity with office equipment (copiers, mail machines, printers).
  • Strong organizational and multitasking skills.
  • Excellent verbal and written communication abilities.
