The Fleet Safety Administrator plays a vital role in supporting PAR Electric’s commitment to maintaining a safe, compliant, and efficient fleet operation. This position provides administrative and compliance support to the Fleet Safety team, ensuring that vehicle, driver, and equipment records are current and in alignment with company policies, DOT regulations, and safety standards.

As a remote member of the team, the Fleet Safety Administrator will collaborate with operations, safety, and fleet management teams across multiple regions to maintain accurate data, monitor compliance, and assist in the implementation of fleet safety programs and initiatives.

What You'll Do

  • Maintain and update fleet and driver compliance records, including licenses, registrations, inspections, and certifications.

  • Track and monitor DOT driver qualification files (DQF), CDL renewals, medical cards, and MVR reviews.

  • Assist in scheduling and tracking of vehicle inspections, maintenance, and repairs.

  • Review and file accident/incident reports, ensuring proper documentation and follow-up with appropriate departments.

  • Support the administration of company fleet safety programs, including driver training, safety communications, and performance tracking.

  • Run regular reports and audits to ensure data accuracy and regulatory compliance.

  • Collaborate with field teams, safety managers, and HR to ensure driver compliance with company and federal requirements.

  • Maintain confidentiality of all personnel and compliance information.

  • Assist with other administrative duties related to fleet management as assigned.

What You'll Bring

  • Education: High school diploma or equivalent required; associate degree or coursework in Business, Safety, or Fleet Management preferred.

  • Experience:

    • 2+ years of administrative experience; experience in fleet safety, transportation compliance, or DOT recordkeeping preferred.

    • Familiarity with DOT/FMCSA regulations and driver qualification requirements strongly desired.

  • Skills and Attributes:

    • Strong attention to detail, organization, and follow-up skills.

    • Proficient with Microsoft Office (Excel, Word, Outlook); experience with fleet management software or databases a plus.

    • Ability to manage confidential information with discretion.

    • Strong written and verbal communication skills.

    • Self-motivated and able to work independently in a remote environment.

    • Excellent time management and ability to meet deadlines.
